How SolDevelo empowered SHIP with real-time, scalable reporting, using open-source tools

To support its growing operations, SHIP Clinic needed a better way to track HIV-related performance metrics. Manual spreadsheets and fragmented reporting tools made it difficult to access timely, accurate insights. SolDevelo partnered with SHIP to implement a scalable open-source-powered reporting system. The result: real-time dashboards, improved data transparency, and faster, more confident decision-making – all without adding load to clinical systems.

The Client

Sustained Health Initiatives of the Philippines (SHIP) logo

SHIP Clinic is an HIV Primary Care Clinic in the Philippines which provides quality yet affordable wraparound HIV-related services to clients in the greater Metro Manila Area.

The Challenge

To manage and monitor their efforts, SHIP was working with a patchwork of Excel sheets and external tools, trying to make sense of large amounts of patient data. But as their operations grew, this approach started holding them back.

There was no real-time insight into patient data, no easy way to explore trends, and no reliable method for generating reports without leaning heavily on technical staff. The process was time-consuming and vulnerable to errors – and as the clinic scaled, these problems only got worse.

The Solution

We partnered with SHIP to design a new reporting system that would be fast, flexible, and easy to use – without putting extra strain on their core clinical systems. Here’s what we delivered:

  • A secure, replicated version of their production database to protect performance and integrity.
  • A dedicated Apache Superset analytics layer, hosted and managed by SolDevelo.
  • Five interactive dashboards focused on SHIP’s most critical HIV-related indicators (e.g., adherence, prophylaxis, viral load).
  • A simple, intuitive interface that lets SHIP’s team explore data and filter reports with no technical knowledge required.

How We Got There

Our service is made to measure, and so is our process. We worked closely with SHIP to understand their environment, pain points, and goals, constructing a purpose-focused plan that ensured each step of our work aligned with what the client truly needed.

Here’s how it unfolded:

  1. Identifying the Right KPIs

We kicked things off with a collaborative discovery phase. Working hand in hand with SHIP’s clinical and data teams, we identified the key performance indicators that would make the biggest difference in their day-to-day work – especially around patient adherence, viral suppression, and preventative care.

  1. Understanding the Data Model

Next, we dug into SHIP’s existing data structure. Understanding how data was stored, connected, and used helped us ensure the reporting layer would be both accurate and meaningful from the start.

  1. Creating a Safe Reporting Environment

To protect system performance and data integrity, we configured a secure, read-only replica of SHIP’s production database. This allowed us to run analytics without putting any extra load on their operational systems.

  1. Setting Up the Tools

We deployed a fully managed instance of Apache Superset – a powerful, open-source data visualization tool – and handled all aspects of hosting, configuration, and access control to keep things simple for SHIP’s team.

  1. Building Targeted Dashboards

With priorities clearly defined, we developed five custom dashboards that gave SHIP clear visibility into their most important metrics. Each one was built to be intuitive, interactive, and immediately useful to the end users.

  1. Testing and Refining

We conducted live testing sessions with SHIP staff to make sure everything worked smoothly and delivered value. Their feedback helped us fine-tune the dashboards and make the interface even more user-friendly.

  1. Establishing a Long-Term Partnership

The results spoke for themselves. SHIP saw immediate value in the solution, and their team expressed strong satisfaction with both the process and the final product. That’s why they chose to continue working with us, paving the way for further enhancements and long-term collaboration.

The Impact

The changes were visible almost immediately. By moving away from manual spreadsheets and scattered reporting tools, SHIP unlocked a faster, clearer, and more reliable way to work with data – one that fits seamlessly into their clinical and operational workflows.

Here’s what the new system delivered:

  • Real-Time Access to Meaningful Data
Instead of waiting days or weeks to compile reports, SHIP’s team could now check the most critical metrics on demand. Whether tracking adherence trends or monitoring viral suppression rates, the insights were just a few clicks away.
  • Reduced Reliance on Technical Staff
The dashboards were designed with usability in mind. That meant program staff, clinicians, and managers could explore the data themselves, without needing developers to generate every new report or adjust filters.
  • Time Savings and Operational Efficiency
Replacing manual processes with automated dashboards freed up valuable time – time that could now be spent focusing on patient care rather than chasing down numbers in Excel.
  • Trusted, Transparent Reporting
With a secure, centralized source of truth and clearly defined KPIs, SHIP could feel confident in the accuracy and consistency of their reports. This improved both internal decision-making and external reporting to stakeholders.
  • Room to Grow
The solution was built to scale. As SHIP’s data grows and new needs emerge, the system can expand – adding new dashboards, indicators, or integrations without needing to start from scratch.

This wasn’t just about improving reporting. It was about creating a stronger foundation for data-driven care – one that supports better decisions, more transparency, and ultimately better health outcomes.

Why SHIP Chose SolDevelo

SHIP had worked with other reporting tools before, but our approach stood out for a few key reasons:

  • We built everything using open-source technologies, with no hidden costs.
  • The dashboards are interactive, flexible, and easy to use – even for non-technical staff.
  • The solution supports dynamic filtering, drill-downs, and user-friendly visualizations.
  • The setup is scalable and secure, with analytics offloaded from the core system.
  • We took the time to understand the client’s context and build something that actually fits it.

Looking Ahead

With the successful delivery of the first reporting phase, SHIP confirmed its interest in a longer partnership with SolDevelo, aiming to expand their analytics capabilities and maintain high visibility over patient care in the years to come.
